Terms and Conditions

1. Subject Matter and Scope

These Terms and Conditions (“Terms”) govern the participation in the SAP Fioneer Financial Services Forum 2026 (the “Event”). The Event is organised by SAP Fioneer GmbH, Robert-Bosch-Strasse 35, 69190 Walldorf, Germany (the “Organiser”). The Event will take place on 6 – 7 October 2026 at the Infinity Hotel, Munich, Germany.

Participation is offered exclusively to entrepreneurs within the meaning of § 14 of the German Civil Code (BGB), as well as to legal entities under public law and special funds under public law. This includes, in particular, partners, exhibitors and sponsors. Consumers within the meaning of § 13 BGB are excluded. For the purposes of these Terms, a “Participant” is any natural person acting on behalf of an eligible undertaking or legal entity who registers for or participates in the Event.

These Terms apply exclusively. Any conflicting or deviating terms of the Participant shall not apply unless expressly agreed in writing by the Organiser.

2. Registration and Conclusion of Contract

Registration is carried out via the https://fs-forum.com/ provided by the Organiser. By registering, the Participant confirms that they have read and accepted these Terms as well as the applicable privacy notice.

The registration constitutes a binding offer. A contract is concluded only upon confirmation email including the event ticket.

The Organiser reserves the right to review and reject registrations, in particular in the event of overbooking or incorrect or incomplete information.

Tickets are issued electronically and are personalised. The Organiser is entitled to carry out appropriate identity checks at the Event venue.

There is no entitlement to participation.

3. Participation Fees and Services

Participation fees apply per person and per Event.

The scope of services is defined by the Event description and includes, in particular:

participation in all programme sessions,
access to networking formats,
event materials,
catering during the Event,
participation in the official evening event.

Travel and accommodation expenses are not included.

All prices are stated in EUR, excluding statutory VAT, unless expressly stated otherwise.

Payment is made using the payment methods offered during registration. In the event of non‑payment, the Organiser may deny access to the Event.

The Organiser reserves the right to make reasonable programme changes, provided the overall character of the Event is maintained.

4. Obligations of Participants

Participants must provide complete and accurate information during registration.

Participants, in particular partners, exhibitors and sponsors, are solely responsible for complying with all applicable legal requirements in connection with their participation.

Advertising, promotional or other commercial activities require the prior consent of the Organiser.

5. Cancellation by the Participant

Cancellations must be made in text form and sent to event@maketing.fioneer.com

The applicable cancellation fees are calculated on the basis of the agreed participation fee. Any remaining amount will be refunded to the Participant in accordance with the provisions below.

Standard Participants:

up to 50 days before the Event: 25%
49–11 days before the Event: 50%
10–4 days before the Event: 75%
from 3 days before the Event or no-show: 100%

Partners / Exhibitors / Sponsors:

within 7 business days after booking: 100% refund
up to 50 days before the Event: 80% refund
up to 10 days before the Event: 10% refund
thereafter: no refund

Any refunds due will be processed using the original method of payment, unless otherwise agreed.

Refunds will be made without undue delay, but no later than 30 days after receipt of the valid cancellation notice, provided that the payment has already been received by the Organiser.

Transaction fees, bank charges or currency conversion costs incurred in connection with the payment or refund may be deducted from the refund amount.

If an invoice has already been issued or paid, a corresponding credit note will be issued where applicable.

There is no entitlement to a refund in cases of non-attendance (no-show) without timely cancellation.

6. No-Show

If a Participant does not attend the Event despite confirmed registration and without timely cancellation, the full participation fee shall remain payable. No refund shall be granted.

7. Discount Codes and Complimentary Tickets

The Organiser may grant discount codes, complimentary tickets or special conditions.

Unless expressly stated otherwise, such benefits are:

non‑transferable,
non‑combinable, and
valid only for the specified purpose.

In the event of misuse, the Organiser may cancel the ticket or retrospectively charge the participation fee or any applicable difference.

8. Cancellation or Changes by the Organiser

The Organiser may cancel, postpone or modify the Event for good cause, in particular due to force majeure, official requirements or an insufficient number of participants.

In such cases, participation fees already paid will be refunded. This refund shall constitute the Participant’s sole remedy.

Any further claims, in particular claims for reimbursement of travel expenses, accommodation costs or loss of profit, are excluded unless the cancellation, postponement or modification is caused by intent or gross negligence of the Organiser.

Liability under mandatory statutory provisions remains unaffected.

9. Liability

Participation in the Event is at the Participant’s own risk.

The Organiser shall be liable without limitation for intent and gross negligence as well as for damages resulting from injury to life, body or health.

In the event of slight negligence, the Organiser shall be liable only in the case of a breach of an essential contractual obligation (cardinal obligation). In such cases, liability shall be limited to the foreseeable, contract‑typical damage.

Any further liability for slight negligence is excluded.

Liability under mandatory statutory provisions, including product liability laws, shall remain unaffected.

The Organiser shall not be liable for loss of or damage to personal property of the Participant unless caused by intent or gross negligence or by a breach of an essential contractual obligation.

10. House Rights

The Organiser exercises house rights at the Event venue.

Participants are required to follow the instructions of the Organiser and its representatives, in particular with regard to safety, security, orderly conduct and compliance with applicable laws and venue regulations.

The Organiser reserves the right to deny access to the Event or to exclude Participants from the Event in whole or in part if they:

violate these Terms and Conditions or the applicable Code of Conduct,
disrupt the Event or its orderly execution,
endanger other participants, speakers or staff, or
fail to comply with reasonable instructions of the Organiser or its representatives.

Any exclusion shall be exercised in a proportionate manner, taking into account the severity of the violation.

In the event of exclusion from the Event, there shall be no entitlement to a refund of participation fees.

11. Photo, Video and Audio Recordings

During the Event, photo, video and audio recordings may be made by the Organiser or on its behalf.

Such recordings are processed exclusively for:

documentation of the Event, and
neutral reporting on professional business events (e.g. corporate website or press communications).

The legal basis is Article 6(1)(f) GDPR in conjunction with sections 22 and 23 of the German Copyright Act (KunstUrhG).

Recordings will not intentionally focus on individual Participants unless this is unavoidable due to the nature of the Event (e.g. panel discussions or stage appearances).

Participants may object at any time pursuant to Article 21 GDPR. The Organiser will take reasonable technical and organisational measures to comply with such objection where feasible.

No consent is implied by mere participation. Further information is provided in the Organiser’s privacy notice.

12. Event App

The Organiser may provide an event application (“Event App”) in connection with the Event. Use of the Event App is voluntary.

When using the Event App, personal data may be processed, in particular profile data and interaction data (such as chats, meeting requests or participation in programme sessions).

For networking purposes, Participants may exchange contact details on site using a QR code displayed on name badges. By actively scanning a QR code, the Participant initiates the transmission of the personal data stored in the Event App to the respective recipient.

Each Participant independently determines which data is stored in the Event App and which information is visible to or shared with other Participants.

Recipients of personal data obtained via the Event App (in particular other Participants, sponsors or exhibitors) act as independent data controllers and are solely responsible for the further processing of such data in accordance with applicable data protection laws.

13. Data Protection

Personal data is processed by the Organiser in accordance with applicable data protection laws, in particular the General Data Protection Regulation (GDPR).

Participation in networking or interaction tools provided in connection with the Event (such as event apps, networking features or QR-code-based contact exchange) is voluntary. Personal data is shared only through the active and deliberate choice of the Participant.

Participants decide independently which personal data they provide and whether such data is made visible to or shared with other participants.

Recipients of personal data (for example other participants, sponsors or exhibitors) act as independent data controllers and are solely responsible for the further processing of such data in accordance with applicable data protection laws.

14. Code of Conduct

The Organiser expects all Participants to behave in a respectful, professional and inclusive manner throughout the Event.

In particular, the following behaviour is prohibited:

harassment or discrimination of any kind,
disruptive or disorderly conduct,
offensive, abusive or otherwise inappropriate statements or actions.

In the event of violations of this Code of Conduct, the Organiser reserves the right to take appropriate measures, including exclusion from the Event.

In case of exclusion from the Event due to a breach of this Code of Conduct, there shall be no entitlement to a refund of participation fees.

15. Governing Law and Jurisdiction

These Terms are governed by the laws of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods (CISG).

The exclusive place of jurisdiction shall be Walldorf, Germany.
